2500kVA Transformer Procurement Checklist for Export EPC Projects

By Ziyao Engineering Team2026-07-072 min

Introduction

A 2500kVA transformer is usually a project-critical item, not a catalogue purchase. The buyer must lock rating, voltage ratio, impedance, loss guarantee, partial discharge, installation environment, seismic requirement and documentation before production release.

This guide is written for overseas buyers, EPC contractors, consultants and local utility reviewers. It uses IEC 60076, IEC 60076-11 where dry-type transformers are specified, IEEE C57 where the tender uses North American practice, and local utility requirements as the main technical language, with the final acceptance route defined by the project specification and local approval process.

1. Buyer Decision Points

Decision pointWhat to check before RFQ
Transformer typeOil-immersed or dry-type, indoor or outdoor, enclosure and fire strategy
Voltage ratioPrimary/secondary voltage, frequency, tapping range and vector group
Loss guaranteeNo-load loss, load loss, evaluation method and energy-cost assumptions
Thermal marginAmbient temperature, altitude, ventilation and overload requirement
Special site demandSeismic restraint, corrosion level, noise limit or fire authority requirement

2. RFQ Data to Provide

  • Rated power and continuous load profile.
  • Primary and secondary voltage, frequency, vector group and tap changer requirement.
  • Installation location, ambient temperature, altitude and enclosure IP rating.
  • Loss guarantee, impedance and short-circuit withstand requirement.
  • Partial discharge, noise, seismic, fire or corrosion requirements if applicable.
  • Destination country document requirements and preferred FAT witness scope.

3. Supplier Documents to Request

  • Technical datasheet and compliance matrix.
  • General arrangement, foundation and terminal drawings.
  • Routine test report and FAT checklist.
  • Type test references where required by the tender.
  • Installation, operation and maintenance manual.
  • Packing list, nameplate drawing and shipping document package.

4. Engineering Review Checklist

Review itemWhy it matters
Partial dischargeImportant for dry-type insulation quality and long-term reliability
ImpedanceAffects voltage regulation, fault current and protection coordination
LossesDrive lifecycle cost and tender evaluation
Seismic restraintRequired in many high-risk zones and owner specifications
Cooling and ventilationPrevents derating and nuisance thermal alarms

5. Reference Standards and Local Approval

Use IEC 60076 for transformer rating and tests, IEC 60076-11 for dry-type transformers, IEC 60076-5 for short-circuit withstand and IEEE C57 where the owner uses ANSI-based specifications. Local utility and consultant requirements should be listed in the RFQ compliance matrix.

Buyer Recommendation

Approve the 2500kVA transformer only after the supplier submits a full technical schedule, drawings, loss data, test plan and project-specific compliance matrix. This protects the buyer from late design changes and authority approval delays.
